How to Share a Public Inquiry Form on CubbyPro

Why a Public Inquiry Form Matters

Most centres still take new-family inquiries by phone, email, or a contact form that drops into a shared inbox. Those messages get re-typed into a waitlist spreadsheet, often days later. Details get lost, follow-ups slip, and the next inspection has nothing to show for it.

The public inquiry form on CubbyPro is a shareable link that drops new family submissions straight onto your pipeline as Inquiry-stage waitlist rows — no copy-and-paste, no missed emails. As of June 2026, you can also have an email sent to whoever in your office should follow up the moment a family submits.

Where to Generate the Link

The flow is the same whether you run a single licensed centre or a home-childcare agency with many provider homes — only the location of the button changes.

If you're a centre director or administrator

  1. Open CubbyPro and go to Admissions in the sidebar.
  2. Click the Share Inquiry Form button at the top of the page.
  3. The modal shows your public form URL. Use the Copy button to grab it.

If you're a home-childcare agency

  1. Open CubbyPro and go to Enrollment in the sidebar.
  2. Click Share inquiry form on the Public inquiry form card at the top of the page.
  3. Copy the URL from the modal. Agency forms also let the parent pick a preferred provider home so the submission lands attached to the right home from the start.

What the Link Looks Like

Your link follows the pattern https://cubbypro.com/inquire/<token>. The token is 32 hex characters, unique to your centre, and unguessable. Anyone with the link can submit; nothing else on your account is exposed.

You can rotate the token at any time from the same modal. Click Generate New Link and the previous URL stops working immediately — useful if a link ends up scraped onto a spammer's list.

Embedding It on Your Website

The simplest path is to add a button on your homepage or contact page that points at the inquiry URL. A plain HTML example:

Most website builders (Wix, Squarespace, WordPress, etc.) let you set a button's link target without any code — paste the inquiry URL into the link field and you're done.

If you'd rather embed the form itself rather than link out to it, drop it into an iframe. CubbyPro doesn't restrict the inquiry URL from being framed by your own site.

Turning On Email Notifications

The form has always written submissions straight to your waitlist, but until recently you had to log in to see new arrivals. The notification email feature changes that — when a family submits, the person you nominate gets an email immediately.

  1. Open the same Share Inquiry Form modal.
  2. Find the Notification email (optional) field below the URL.
  3. Type the address that should be alerted on every submission — this can be your front-desk inbox, the director's address, or a shared distribution list. Click Save.
  4. The next time a family submits, that address gets a summary email with the primary contact's name, phone, and email plus a list of the children submitted.

Want to stop notifications? Clear the field and click Update — the form keeps working, but no email goes out.

What the Family Sees

The public form is branded with your centre or agency name and logo. There's no CubbyPro login or account creation required — just child details and parent contact info. Agencies see an extra step that asks the family to pick a preferred home (optional).

Behind the scenes, built-in spam and abuse protection silently drops bot traffic and junk submissions, so the form is safe to leave linked from a public page indefinitely.

After a Family Submits

Every submission becomes a waitlist row in the Inquiry stage with the family's details, contact info, allergies, and any preferences they entered. From there it's the same flow you already use:
