Schedules and schedule changes
The Schedules page shows every child’s recurring care window. View by week, by billing period, or by month. The biweekly view lines up with parent invoices, so what you see is what one invoice covers.
A yellow banner lists children without a saved schedule. Chase these down.
The grid shows 25 children a page; page through with the controls under it. The day totals in the header still count every child that matches your filters.
For a child who attends on alternating weeks, tick Alternating weeks on their Schedule tab and fill in Week A and Week B. The provider sees both weeks labelled on their side, and safe arrival, invoices and pay all follow the same pattern.
Overnight care. Press + Add slot on the evening the stay starts, enter the start and the next-morning end, for example 6:00 PM and 7:00 AM, and tick Overnight. The slot then reads Ends the next morning. The provider checks the child in once in the evening and out once in the morning.
Day and overnight care. For a child who comes for the day and stays the night, add two slots on that day: the daytime slot, and the overnight slot with Overnight ticked.
To change days or hours, edit the child’s Schedule tab and set the date the change starts. Do not delete the old rows.
Every day is priced by the schedule that was true on that day. Old days keep the old schedule. New days use the new one.
If an invoice already went out before the change, leave it alone. The next invoice trues it up automatically. Removed days come back as credits. Added days get charged.
A break in care. When a family is away for a while, open the child’s Schedule tab, press + Schedule a change, tick No care (pause), and enter the first and last day. No days are scheduled in between, so the parent is not billed, the provider is not paid, and the child is not expected at check-in or safe arrival. The usual schedule comes back by itself the day after. Cancel pause undoes it before it starts. If provider pay for those dates was already calculated, recalculate that pay cycle.
Use a pause rather than a billing end date. The billing end date stops parent invoices for good and never stops provider pay. If a paused child comes anyway, the provider checks them in as usual and that day is billed and paid for the hours they stay.
